Our Lancaster office is currently hiring a PT office assistant!

Hours: 10-20/week with flexibility

Pay/Salary: Based on experience

The financial representative assistant specializes in client service to ensure the maintenance of an efficient, organized office that allows the financial representative to focus his/her energy building client relationships. The assistant is a liaison between home office, financial representatives, network office support team and clients.

 

Specific responsibilities should include but not be limited to:

Administrative:

• Type correspondence, and maintain client case file
• File new statements, account forms and other insurance/investment related materials
• Maintain financial representative’s calendar, schedule follow-up appointments
• Direct phone calls to appropriate personnel
• Call existing clients to schedule reviews and appointments
• Maintain check logs
• Assist in preparation of mailings
• Monitor and maintain marketing materials for insurance and investment related materials
• Send out client birthday list to advisor and schedule age change appointments for financial representative;
•Generate lead letters and implement marketing programs
• Client/Service Support
• Input data and print proposals and gather information at direction of financial representative in preparation for client/prospect meeting
• Prepare/print letter of instruction for client signature
• Pre-check insurance applications, conversions and policy changes for completeness and accuracy
• Contact clients to set-up follow-up meetings with registered representative
• Contact clients to confirm receipt of forms or request form completion and return
• Update client information
• Contact client for missing demographic information (address, phone number, email etc.)

• Other miscellaneous duties to include: Scan and photocopy applications and documents, file investment related documents, file variable annuity/variable life related documents, and maintain registered representative calendar

 

Qualifications

• Administrative support or customer service experience to include computer experience and/or data entry and excellent oral and written communication skills. Experience or knowledge in financial services is a plus but not necessary
• Demonstrated organizational skills, ability to multi task, and time management skills with ability to set priorities and meet deadlines
• Strong attention to detail with the ability to work with a high degree of accuracy
• Ability to maintain confidentiality
